How we handle your data — and your customers’
In one sentence
Your data lives in accounts you own, only named people at Reach can reach it, nothing goes into a model that learns from it, and we hand everything over within five days if we part.
The detail below is the binding version. If it ever seems to disagree with the summary above, tell us — we would rather fix the wording than win on it.
Where it lives
In accounts registered to your business, on platforms we agree during the Roadmap. We do not host your customer records in a Reach-owned system, because that would make leaving us expensive — and it should not be.
Who can access it
Named people on our side, with individual logins and two-factor authentication, limited to the systems the work requires. No shared passwords, no contractors we have not told you about, no offshore support desk.
AI specifically
Where a system uses an AI model to draft a reply, only the message being answered and the context needed to answer it is sent. We use business-tier services configured so your data is not used to train models.
We do not upload customer lists, financial records or case files into a chatbot. If a task would require that, we automate it another way or we say no.
Customer-facing messages
Any automated message that reaches your customers is written and approved by you before it goes live. Nothing pretends to be a named person who is not there, and anything conversational identifies itself when asked.
Retention and deletion
You set retention rules on your own accounts. On our side we keep only what we need to run the work: configuration notes, reporting figures, and our correspondence with you.
When we part ways
Within five business days of the final invoice we remove our access, hand over documentation of everything we built, and delete the working copies we hold. You keep every account, record and automation, running.
